UPDATED CLINIC POLICIES AND PROCEDURES FOR COVID-19.
PLEASE READ:

Due to Covid-19 we are reducing the number of treatments per day and adding extra time for a super clean after every visit.  On top of our regular cleaning practices such as disinfecting all surfaces, changing and washing linens after each visit, and washing our hands regularly.  We are implementing other measures to ensure proper social distancing, wearing masks, decreasing foot traffic, and using self-assessment questionnaires.

We are carefully managing the reopening of our clinic with new safety measures and hygiene procedures. However, Any location where there are people present provides an inherent risk of exposure to COVID-19 and we cannot guarantee that you will not be exposed during your visit. We ask everyone to follow government health officials and to follow our clinic policies.

We are doing our best to keep everyone updated on new guidelines for clinic operations and safe practices.  Please refer to our clinic policies for more information.  Your cooperation is needed and valued.  Let’s practice good hygiene and maintain communication open to better protect everyone’s health and safety.

  • Patients and clinic staff must continue practicing social distancing, hand washing, coughing etiquette, and wear a mask.
  •  Patients are expected to stay home if they feel unwell, if exposed to any infectious/contagious illness, if travelled or had contact with someone who has travelled in the past 14 days.
  • All patients are expected to fill out a New Medical History Form and a
    New Direct Billing Form to ensure accurate information and consent is
    obtained.
  • All patients and staff must self assess their health condition before coming to an appointment using our self-screening questionnaire and/or BC COVID-19 self-assessment tool.
  • All patients will have their temperature checked when arriving at the clinic.
  • Patients and Clinic staff are expected to maintain open communication if
    new symptoms have developed before or after appointments.
  • When you come to your appointment, limit the number of personal items that you bring. Nothing should be left unattended.
  • Please wear clean and comfortable clothes such as sports tops, shorts or sports pants.
  • We ask patients NOT to bring their children or pets. No other than yourself should come to your treatment.
  • Our clinic will open 10 minutes before an appointment. Only one patient and one therapist will be allowed in the reception area.
  • All receipts will be E-mailed. Online Direct Billing is preferred to limit unnecessary contact. Please have your information up to date.
  • We will not provide water or snacks to reduce the risk of transmission.
  • Patients considered to be at High Risk, we suggest you talk to your family doctor before booking any appointments and follow government guidelines.

CANCELLATION AND LATE ARRIVAL POLICIES

Due to the Covid-19 pandemic, we are temporarily not enforcing our Cancellation policy. We ask our patients to be mindful of the impact of NON-Emergency/NON-COVID19 related last minute cancellations affect our practitioners. Cancellations also apply to Practitioners.

Our waiting area is limited to one patient and one therapist at a time, if you are late you may have to wait until this area is cleared affecting your booked appointment time. You will be charged for the full length of your appointment. Please BE ON TIME and Please call if you are running late or cannot make it 604.430.4524.

For the first time Missed/No Show 50% of the balance will be due. Any appointments missed thereafter will be charged in full.

We DO NOT direct bill insurance companies for Missed/No Show appointments. A receipt may be issued stating that payment was received for a Missed/No Show appointment only.

COVID-19 INFORMATION: WHAT TO DO?

Patients who become ill or suspect contracting COVID-19 please contact us to cancel your appointment, self-isolate, contact your family doctor or call 8-1-1. You can also call 1-888-COVID19 (1-888-268-4319) or text message at 604-630-0300. You can refer to the BC government health website, or call 9-1-1 for Emergency. TREATMENT PROCEDURES:

Prior to the massage, your therapist will go over your health history and intake form. We ask our patients to wear loose clothing and A MASK for the assessment.

During assessment different tests are performed to better understand your body mechanics, your injuries, and posture patterns. After the assessment, a treatment plan will be provided and discussed with you before starting the massage. Verbal and/or signed consent is required to proceed with treatment either by the patient or guardian or both. Patients are encouraged to be proactive in their recovery and ask questions related to their treatment. Your practitioner will leave the room providing you with enough time to get on the table and cover yourself before returning to the treatment room.

During treatment, patients will be properly draped having only the areas to be treated uncovered. Please, communicate with your therapist if there is discomfort or pain during treatment. At the end of treatment, the practitioner will leave the room and let you get ready for the re-assessment and homecare/exercises.

Please, follow your therapist’s advice and keep track of your symptoms. If pain or discomfort appears while performing the homecare recommendations, stop and communicate with your therapist.

Finally, schedule a follow-up treatment. This important step helps improve clinical plans by tracking and collecting your feedback for more positive and safer treatment outcomes.

Note that Due to COVID-19 we ask patients and staff to keep chatting to a minimum outside the treatment room and wear a mask in the reception area.

DIRECT BILLING AND INSURANCE INFORMATION:

  • Since the pandemic, existing patients whose insurance may have changed are required to update their Direct Billing Authorization form before coming to their treatment.
  • All NEW patients please fill out our Direct Billing Authorization form. By signing our Direct Billing Authorization form you agree to pay your therapist any amounts not covered by your policy.
  • Please, let our staff know if you have more than one policy coverage. We can submit your primary insurance first until it runs-out, before using your secondary insurance.

PATIENT CONFIDENTIALITY AND CLINICAL RECORDS

Patient personal information is kept confidential. To obtain documents such as statements, records and notes we require signed consent from the patient. A fee will be charged for our services. Documents are not E-mail or Faxed. Please, contact us at hello@shinhealthgroup.com.

RIGHT TO STOP A TREATMENT

In the event that you’d want to exercise your right to stop a treatment once the treatment has started, the charge will be of the greater possible time spent during the session. For example, you booked a 45 minutes treatment and stopped the treatment 20 minutes into your session. The therapist will then charge you for a half an hour treatment for a first-time occurrence. Should there be a future occurrence the full amount of the booked session will be charged.

RARE CIRCUMSTANCES AND BEHAVIOUR

In certain circumstances, Our practitioners may refrain from providing their services should they feel the treatment is not safe for the patient. It is also within their discretion to refuse treatment to any patient who has breached the above-noted policy.

Any form of verbal, physical, sexual, malicious, and/or abusive type of behaviour towards our practitioners will NOT be tolerated. You will be asked to refrain from using any of our services and denied permission to use our online booking system.

Please note that these policies are necessary for us to run our practices in a stable manner, and to providing a courteous and harmonious environment for everyone.
